A no-show isn't just an empty slot. It's an empty slot you turned someone else away for. I used to find out a client wasn't coming when they just didn't show up, and by then it was too late to fill the spot with anyone else. I knew the fix was reminders, everybody knows the fix is reminders, but sending them by hand every day wasn't a habit I could keep up once the calendar got busy. So one weekend I built a system that handles it for me, start to finish. Here's how it went.
The problem wasn't forgetting to remind people
I did send reminders, sometimes. The problem was "sometimes." Busy week, I skipped it. Slow week, I remembered. There was no consistency, which meant the clients most likely to forget an appointment were exactly the ones least likely to get a nudge, because I only remembered to text people when I had time to spare. A system that only works when you're not busy isn't a system. It's a coin flip.
I also didn't want to just buy another app that sends generic texts. I wanted the reminder to sound like it came from me, confirm the actual appointment detail, and tell me who hadn't responded so I could follow up before the slot went to waste, not after.
Saturday morning: I wrote down how I actually wanted it handled
Before touching any tool, I wrote out my real rules in plain language. How far ahead each reminder should go out, what it should say for a first-time client versus a regular, what counts as "confirmed," and what should happen if nobody responds by a certain time. I also wrote down the exceptions, like which clients always reply late but always show up, so the system wouldn't treat them like a risk every single time. That list was the actual plan. Everything after it was just setup.
Saturday afternoon: I handed those rules to the tool
Then I set it up with something close to this:
"Here's my appointment list with client name, date, time, and service. Send a reminder text 24 hours before and another 2 hours before, in my voice, friendly but short. Ask them to reply YES to confirm. If nobody replies by 6pm the day before, flag it for me to call personally. Don't mark anyone confirmed unless they actually replied."
That last line mattered. A reminder system that quietly assumes everyone's coming defeats the point. I wanted it honest: confirmed means confirmed, and anything else gets flagged for a real human, which is me, to chase down.
Sunday: I ran it against my real schedule
Sunday I fed it my actual week and watched what came out. It caught a client who'd rescheduled twice already and flagged them early instead of waiting for the usual no-show. It also correctly left alone the regulars who never reply to texts but always walk in on time, because I'd told it not to treat silence the same for everyone. By Sunday night it was sending the right message to the right person at the right time, and handing me a short list each morning of exactly who still needed a personal follow-up call.
What it actually changed
The reminders go out every single day now, busy week or not, because the system doesn't get tired the way I do. The slots that would have quietly gone empty get flagged early enough that I can actually fill them with someone else. And the clients who do need a real phone call get one, because the system tells me who they are instead of me guessing. The whole thing runs on about $20 a month in tool costs, which is nothing against even one appointment slot that used to sit empty every week.
It's the same pattern behind most of what I build: write down the judgment calls you're already making in your head, hand them to AI once, and let it carry the part that repeats. This matters most for any business that lives on booked appointments, like salons, veterinarians, and chiropractors. Most owners I talk to have tried AI casually, a one-off text here or there, but few have it actually built into how they run their calendar every day. That's the real difference.
Want your reminders to send themselves?
I teach owners the exact setup I use: $997 flat, a few calls, and we build your first real tool together on your actual business. Full refund if it wasn't worth it.
