The honest version
AI is not going to sign a return, and it is not going to replace your professional judgment. If a client is paying you to know the code and make the call, that's still you. What AI kills is the between-the-work work: the reminder email you rewrite for the fifth client this week, the onboarding steps you explain from scratch every time, the engagement letter you copy from last year and hope you caught every change.
Most small firms have tried AI casually. Someone on the team asked ChatGPT a question once, maybe drafted an email with it. Very few have it properly built into how the firm operates. That gap is the whole opportunity, because the firms that close it get their evenings back during busy season while everyone else is still chasing documents by hand.
What a firm owner actually uses AI for
- Client emails and reminder sequences. The "we're still missing your 1099s" note, the deadline reminder, the third nudge that has to be firm without being rude. AI drafts them in your tone, and you build a reusable sequence once instead of writing the same chase email forever.
- Onboarding checklists per client type. A new S corp client needs different documents than a sole proprietor or a nonprofit. Build the checklist once for each type, and every new client gets a clean, complete intake instead of whatever your admin remembers to ask for.
- Plain-English explanations for clients. The client who wants to know why they owe money this year, or what the safe harbor rule means for their quarterlies. AI turns your two-sentence answer into a clear explanation the client actually understands, so you stop writing mini tax lectures at 8pm.
- First drafts of engagement letters and proposals. Feed it your standard terms and the scope of the new engagement, and you get a solid draft to review instead of a blank page. You still read every word. You just stop typing every word.
- Small internal tools. An intake form that feeds a spreadsheet, a status tracker showing which returns are waiting on documents versus waiting on review. You can build these yourself now, no developer, no new software subscription.
One thing that actually matters here: use business-grade AI tools and keep your client data handling sensible. Consumer chatbots and confidential client files are not a combination you want.
